When you begin your epic quest to finding that perfect location for your next big event, where should you begin? You can spend entire days and even weeks looking for that perfect venue, only to find that it may not be in your ideal location or within your budget. So, where to begin?
First things first, we need to determine what kind of event we are looking to have. If it's a type of social gathering or wedding, then the options can seem endless. You may want to consider WeddingWire or The Knot to locate your vendors and venues. Depending on what you are looking for, there are literally millions of options.
If you are in charge of hosting a corporate event, the dynamic changes drastically. You will need to consider several important factors:
- LOCATION! The most important factor in choosing a venue for any corporate event is almost always going to be LOCATION. When you are considering the logistics for your event, you need to consider where the meeting/convention is located, where the hotel is located and what are your options in THAT vicinity. This is especially important when transportation is a factor. Are your attendees driving, walking or taking buses to your event?
- SETUP CAPABILITIES. Are you going to be hosting a group luncheon, dinner, cocktail party, product launch, awards ceremony, or just a networking mixer? You need to consider if everyone will need to be seated at once, or some seated some standing. Do you need staging, Audio/Visual requirements, or entertainment? Does your preferred venue have the appropriate floor plan for what you are envisioning?
- AVAILABILITY and CONTRACT. It's great to do the research to find your perfect venue, but don't forget to reach out immediately to see if the venue is available on your desired dates! Many popular venues get booked months- sometimes years in advance. Nobody wants to look silly presenting a venue to Management, only to find out that the venue is booked by your competitor! Reaching out to see if a venue has availability is free and easy, so always check first! Most venues require a 25-50% deposit along with the signed contract at the time of booking to guarantee your date.
- BUDGET. The last important factor is budget. If you have a number budgeted out for your event, it's best to present it- along with your needs for your event to determine the venue that best suits your price range. Most, if not all, venues have minimum event requirements to ensure a full or partial buy out for your event. These numbers are based upon their typical sales during that season. Meaning, the venue would not sell out their space for less than they would typically make if they were not closed to the public. Event halls that are not open to the public every day (only for events) have an extremely well thought-out pricing structure, based on demand during different times of the year. However, if you provide your requirements and your budget, most venues will do their best to accommodate.
